Food Terms and Conditions – 2017 1) Booking Your Date with Garnish @ thirstchoice a) All event bookings must be confirmed in writing/email by the Client. A non-refundable deposit is required to secure for the Garnish @ thirstchoice date of your event. b) All bookings are subject to minimum guest numbers, these will be confirmed in writing/email by Garnish @ thirstchoice to the Clients.
2) Deposit a) A deposit figure (no additional vat cost) will be provided to the Client in writing by Garnish @ thirstchoice once your booking confirmation is received. b) This deposit 50% of total amount will be deducted from the total event costs which will be issued to the Client on receiving final numbers and final menu choice, no later than 30 working days after confirmation of numbers to the event (please see our Payment terms below). c) Payment methods available include bank transfer. d) Deposits e) Final payment is required 28 days before the event F) if booking is made under 30 days full amount to be payed as deposit
3) Booking Confirmation a) Once the Clients deposit has been received a receipt will be issued by Garnish @ thirstchoice her with a formal confirmation letter which will include your draft menu, event summary and estimated costs based on the number of guests and selections made by the Client at this time.
4) Variations to the Price a) All bookings are subject to minimum guest numbers which will be confirmed by Garnish @ thirstchoice at the time of booking. b) Where children are attending – if over 7 years of age they are payable at the same rate as adults, if under 7 years of ages they are chargeable at half the adult price (subject to minimum numbers mentioned above). Children under 3 years will be free of charge. Any variation to menu selections for children must be discussed with as soon as possible to our menus to be revised accordingly. (c) Additional staffing may be required and will be invoiced accordingly (d) All waste will be carried of premise of which garnish @ thirstchoice create. All other waste the client wishes us to be disposed of according to local council regulations will be charged at £5 a bag and £1 per recyclable bottle. This cost covers our labour and safety whilst disposing of additional waste and recycling.
5) Payment of Total Event Costs Prior to Event a) Payment in full is required for all catering services to be provided by Garnish @ thirstchoice prior to the event. Final guest numbers must be confirmed to Garnish @ thirstchoice no later than 28 working days prior to the event. b) The information provided at this point will be used to produce your total event cost invoice, arrange staff and co-ordinate with your venue. Once our invoice is received by the Client payment must be received no later than 28 working days before the event. c) Should Garnish @ thirstchoice be advised of any changes to event requirements (including the reduction of guest numbers) at a date less than 28 working days prior to the event, Garnish @ thirstchoice reserve the right to accept these changes and reduce our invoice value, however should increases occur due to additions once full payment have been received Garnish @ thirstchoice will raise an additional invoice following the event for these guests or extras food needed, payment will then be due for immediate settlement by the Client.
6) Cancellation a) In the unfortunate event of a booking having to be cancelled confirmed in writing/email will be needed by the Client. Your deposit will be retained no charges will be incurred. This includes any payments made 28 days prior to your event b) In the unfortunate event of a booking having to be cancelled by Garnish @ thirstchoice confirmed in writing/email will be received by the client and Your deposit will be refunded in full c) Any additional costs incurred by Garnish @ thirstchoice in preparation of the event up until the time of cancellation will be charged to the Client. This is to cover any losses caused to Garnish @ thirstchoice for administration costs, travel, supplies etc. and will be discussed fully in event of cancellation.
7) Dietary Requirements and Allergies a) Garnish @ thirstchoice will endeavour to provide suitable adaptions to the Clients menu for any guests with special dietary requirements or allergies. We cannot however take responsibility for any guests unless advised in advance (no less than 28 working days prior to the event).
8) Clients Food and Drinks a) We accept no liability for any food supplied to the Client by another caterer (or food products suppliers by the Client themselves) in additional to those arranged by. Garnish @ thirstchoice b) Where the Client has made additional arrangements (for example an evening hog roast) will Garnish @ thirstchoice require a Food Disclaimer Form will be completed and returned no later than 28 working days prior to the event. c) Garnish @ thirstchoice will happily serve a Clients arrival drinks, table wines etc. during their event if our Bar is hired, also subject to waitress fees or corkage, please ask for further details.
9) Client’s use of Garnish @ thirstchoice Property and Clients Personal Property or Gifts a) The Client agrees to pay for any loss or damage to any equipment, crockery, cutlery or glassware supplied by Garnish @ thirstchoice for the event, including any issues caused by the Client guests. b) The use of candles by the Client for centre pieces or decoration where Garnish @ thirstchoice have supplied table linen is strictly prohibited. c) Any damaged linen as a result of the use of felt tip pens will result in an additional charge payable by the Client after the event (a separate area for colouring should be arranged with suitable table coverings, by the client) d) Garnish @ thirstchoice will not be held responsible for the theft, lost or damage to any personal effects of the Client or gifts brought onto premises by the Client guests. (e) All waste will be carried of premise of which garnish @ thirstchoice create. All other waste the client wishes us to be disposed of according to local council regulations will be charged at £5 a bag and £1 per recyclable bottle. This cost covers our labour and safety whilst disposing of additional waste and recycling.

10) Liability of Garnish @ thirstchoice a) Garnish @ thirstchoice accept no liability under any claim whatsoever arising (be it by negligence or otherwise) for any loss over the figure of the existing ……………………………………………….. Indemnity. Note that this figure which may change from time to time, is available upon request together with a copy of our Certificate.
11) Force Majeure a) Garnish @ thirstchoice shall incur no liability to the Client if performance of the contract is prevented or hindered by any case whatsoever beyond Garnish @ thirstchoice control and in particular but without prejudice to the generality of the foregoing, by act of fire, flood, subsidence, sabotage, accident, strike, or lock out and shall not be liable for any loss or damage resulting there from suffered by the Client.
  Garnish @ thirstchoice reserve the right to change our Terms and Conditions when necessary due to the continual evolving nature of our business. It is your responsibility to ensure that you are up to date with our Terms and Conditions which are available on request or via our website at Thirstchoice.org.uk.

Mobile Bar hire Bar Hire Terms and Conditions 1) Booking Your Bar Date with thirstchoice a) All event bookings must be confirmed in writing/email by the Client. A non-refundable deposit is required to secure for the thirstchoice date of your event. b) All bookings are subject to minimum guest numbers, these will be confirmed in writing/email by thirstchoice to the Clients. (c) If Garnish @ Thirstchoice is undertaking catering bar booking fees will be wavered depending on number of guests (i.e above 50 guest) (d) licenses for venue may be charged on top of booking form not including admin charge  Unless stated in writing all bookings are accepted subject to the Terms and Conditions of hiring stated below.
2. SITE   (a) The Hire charges are based on the assumption that the site for equipment instalment is a flat level firm ground with easy access for motor transport. (b) The client is required to provide the company with a plan showing the position in which the bar and or equipment are to be placed or should have a representative on the site for that purpose. In the absence of both then the company’s own staff, having placed the bar and equipment where they think fit shall be deemed to have completed the contract. (c) Only equipment specifically stated in the quote is included in the hire. The client must ensure all aspects of their service and equipment requirements have been discussed with the company prior to making the booking.
  3. HIRE CHARGES   (a) The charges laid out in the quote are for hire only and not for purchase of equipment. The quote is valid for 30 days from the date stated on the quote. (b) A 50% deposit of the total hire cost is required upon booking and the booking is not confirmed until the deposit and the completed booking form are received by the company. (c) If the booking is made 28 days before the client’s event date Full payment will be required.   (d) Full payment is required 287 days before the period of hire commences.  (e) additional charges for extra staff may be required Thirstchoice will notify and invoice f) All waste will be carried of premise of which thirstchoice create. All other waste the client wishes us to be disposed of according to local council regulations will be charged at £5 a bag and £1 per recyclable bottle. This cost covers our labour and safety whilst disposing of additional waste and recycling.
4. VARIATIONS   (a) If for any reason thirstchoice is no longer able to supply the equipment ordered the Thirstchoice will notify the Client as soon as possible and supply alternative solutions. If these solutions do not satisfy the needs of the Client they may terminate this contract and any payments made will be refunded in full.
  5. PAYMENT   (a) Payments must be made in accordance with the terms stated in the thirstchoice quotation. (b) If full payment is not received before the event Thirstchoice reserves the right to not attend in view of non-payment being a cancelation. (c) If a booking is made 28 days or less before the event date full payment is required at the point of booking. (d) Payments can be made by bank transfer
  6. LOSS OR DAMAGE   (a) The Client shall, during the Period of Hire be responsible for the maintenance and safe custody of thirstchoices equipment. (b) The Client must be satisfied with the equipment before use and notify thirstchoice of any incorrect deliveries or unacceptable equipment at the point of delivery/installation. (c) Any damage caused to the equipment during the Period of Hire will be charged to the Client on a replacement value basis.   (d) Where glassware has been hired breakages or losses are chargeable to the Client at the cost of suitable replacement.
  7. ATTENDANCE   The Hire cost does not include attendance by the Company's staff except during the actual installation unless otherwise agreed as part of the initial quote. Additional attendance of staff cost during the working of your event will be invoiced separate to booking form.
  8. CONTRACT   (a) No verbal representations or arrangements are recognised by thirstchoice. A booking is only deemed valid once the Client has filled out a booking form and receipt of a booking confirmation from thirstchoice (b) thirstchoice will provide the Client with a booking confirmation upon receipt of a fully completed booking form and the Deposit payment from the Client. (c) Should thirstchoice not have availability of the required date of hire upon receiving the completed booking confirmation and deposit thirstchoice will recommend then the deposit will be returned to the Client.
  9. CANCELLATION   (a) Should the Client wish to terminate the contract then the following cancellation fees will be charged to the Client by the Company: 100% of the Hire price for notice less than 28 days prior to the Period of Hire. 50% of the Hire price for notice more than 28 days prior to the Period of Hire. 
  10. PERIOD OF HIRE   (a) The Period of Hire will be specified on the booking confirmation. Any equipment not returned to the Company by the exploration of the Period of Hire is subject to charges stated in section 6. LOSS OR DAMAGE
  11. KEG HIRE   (a) The Company will not refund the Client for any unused kegs providing these are returned at the end of the Period of Hire, is the responsibility of client to find suitable sanitized containers to transport any remaining liquids. (b) All kegs whether empty or full will be returned to our suppliers at the end of the Period of Hire.   (c) Please note Thirstchoice will endeavour to supply all requested alcohol, if at any point it is unavailable Thirstchoice will find a notify of a suitable replacement.
12. CONSUMPTION OF ALCOHOL NOT PROVIDED BY THE COMPANY (a) At the event guests are required to purchase their drinks from the bar provided by thirstchoice and no additional drinks are permitted at the venue. This is a licensing condition for which thirstchoice retain responsibility. thirstchoice reserves the right to confiscate unauthorised drinks or remove them from the premises. (b) Arrival drinks arranged by the Client are permitted providing they are for consumption during the pre-meal period. thirstchoice requests that they are informed of this before the event. (c) Table wine and all other table drinks including drinks for toasting arranged by the Client are permitted providing they are for consumption during the meal only. thirstchoice requests that they are informed of this before the event. (d) all the above should be cleared from tables after the meal this could be a licensing condition for which thirstchoice retain the right to confiscate unauthorised drinks or remove them from the premises once the meal is finished and drinks are removed by the caterers (e) the client is responsible to ensure that all caterers are aware of their responsibility to remove all meal drinks, bottles and glasses after the meal or food service has ended.
13. LICENSING (a) thirstchoice is responsible for the operation of the Clients bar in accordance with the licensing act 2003. License application will be charged and admin unless otherwise agreed If alcohol is being sold to guests at the bar the venue must be licensed, this includes venues such as Marquees and private houses. If no such license exists for the premises thirstchoice will be permitted obtain a licence to open. A copy of the license will be available for inspection upon the thirstchoice arrival. thirstchoice should be notified if no venue has licence (c) If the license application service has been selected thirstchoice will carry a copy of the license. (d) thirstchoice operates a strict policy on underage drinking. Guests that appear to be under 21 years of age may be asked to show photo I.D. in an acceptable format. Acceptable formats include driving licenses, passports or approved I.D. cards. (c) The Company reserves the right to refuse alcohol if a guest appears too intoxicated or is behaving in an abusive or threatening manner. Thirstchoice operates a strict safety to all policy including their staff guest and other companies of which there working with on the day of an event.
14. ACCESS   (a) The Client is required to ensure that thirstchoice have access to the venue at a mutually agreed time for the installation of the bar equipment. (b) Any restrictions to venue access such as unloading restrictions, parking or height restrictions must be communicated to the Company 28 days in advance of the event.
